Booking Terms and Conditions

General Hire Notes

Bikes are all rented on a calendar day basis (or part thereof), not by the hour or in 24hr blocks.

Customer requested Booking Changes and Cancellations Hire, Group Tours, Mountain Bike Programs
  • Any changes and cancellations made more than 7 days prior to the commencement of the booking will be eligible for a full refund.
  • Any changes and cancellations made less than 7 days prior to the commencement of the booking but more than 48 hrs prior to the booking will be eligible for a 75% refund.
  • Any changes and cancellations made less than 48 hrs prior to the commencement of the booking will not be eligible for a refund. This includes cancellation requests for weather not deemed to be significant or any illness (however at our sole discretion credits may be issued).
  • Multi-day hire & events are subject to the same booking and refund conditions and timeframes as outlined above. The event is deemed to have commenced as of the beginning of the first day of the program. If you are unable to attend following days of the event or elect to shorten your hire for any reason you will not be eligible for a refund (however at our sole discretion credits may be issued).

Please note…. Unless we have cancelled the event or activity, the above policy will apply for all cancellation reasons including weather, illness, injury, border closures and isolation orders.

Early Collection

If you wish to pick up your bike (or have it delivered) the afternoon prior to your booking you can indicate this on the booking form. IF the bike is available, you will have the option of receiving it early for $15 additional charge. Selecting this option does not guarantee the bike will be available for early collection/delivery as it depends on its availability on the day. If you wish to guarantee availability, please ensure the booking dates selected reflect the dates you require.

Breakage, loss, theft and unreasonable use of rental equipment

The person named on the rental agreement accepts full responsibility for, and agrees to pay for:

  • Breakages, loss or theft of bike(s) and equipment. Locks are provided on request; however, use of locks does not guarantee the security of the bike or negate the hirer’s liability if the bike is lost or stolen.
  • Cleaning and repair fee ($75) for any excessive or unreasonable cleaning or maintenance work required at the end of the rental, this most notably includes excessive sand on the drive line of bikes (i.e, due to riding on the beach) or excessive tire wear.

If a credit card is held on file all charges will be made to the card held.

Late returns of rental equipment

Late returns of rental equipment will be subject to additional charges. Late returns will be charged at the FULL daily rate for each day (or part thereof) if the bike is late.

Additional charges may also apply such as:

  • any refunds that have to be provided to other customers due to the late return of a bike.
  • staff wages incurred if staff are required to stay back to wait for bikes returned late.

If a credit card is held on file all charges will be made to the card held.

Mechanical faults including flat tires and broken chains
  • Unfortunately, from time-to-time bikes will suffer mechanical issues. Most commonly flat tires or a broken chain. While we will make every attempt to assist, it is not always possible to assist immediately or for many hours.
  • If a bike suffers a mechanical failure, it DOES NOT remove the hirer’s obligation or responsibility for the bike.
  • Bikes that suffer mechanical issues including, but not limited to, flat tires that are subsequently “abandoned” and cannot be recovered by us will be considered lost and the full replacement value charged to the hirer.
  • Please note flat tires can and do happen and are beyond our control. Tubes, pumps and tools can be provided to all customers upon request at the commencement of their booking. Flat tires will not be cause for refunds or discounts, although we will make genuine attempts to do so we CANNOT ensure we will be able to assist customers with flat tires in a timely manner, if at all. Before venturing into hard to access locations such as mountain bike trails please ensure you are able to perform tasks such as changing flat tires and have requested the appropriate tools from us which can be provided.
  • Please note chains on bikes do break; all chains on our bikes are replaced well within their wear limits, especially on ebikes. Ebike chains break regularly due to incorrect shifting and shifting under too much load. Broken bike chains will be charged at $40 and we CANNOT guarantee that we can come and repair the bike on the trail or retrieve you or the bike. Especially with ebike rentals we strongly encourage you to pay attention to the directions provided on how to correctly change gears on an e-bike.
Flat Batteries on E-Bikes

Ebike are provided fully charged but range can vary significantly depending on rider weight, the mode the bike is used in, the number of hills ridden and importantly how well gears are used. We do not pick up riders who flatten their batteries so please keep an eye on charge levels… all bikes are still ridable with flat batteries but if you are concerned about range, please ask our staff for tips on maximising range.

General
  • Equipment must be returned in the same condition as it was handed over in
  • Equipment must be returned to the location from which it was rented
  • Rental bike(s) are not to be ridden on the beach, $75 cleaning fee applies
  • Bike(s) are not to be ridden at night unless lights are fitted
  • An Australian approved bicycle helmet must be worn at all times whilst riding

Further to the above all hires are subject to the hirer’s acceptance of Bike On’s liability waiver which can be found here

Delivery & Collection Options Available

Pick Up / Return in Person:

  • All bikes can be picked up from our workshop at U12, 20 Venture Drive Noosaville
  • 8:30am-4:30pm Monday -Saturday

Free Noosa Delivery:

  • Available for all bookings over $100 created and paid for more than 48hrs in advance within the Noosa area. This area consists of Noosaville, Tewantin, Noosa Heads, Sunshine Beach, Sunrise Beach and Castaways Beach. Areas south of Castaways Beach will be subject to an additional fee and a minimum $200 booking.
  • Delivery occurs between 9:30am and 10:45 am, exact times cannot be guaranteed in advance and will be arranged on the morning of delivery. We do suggest you consider riding from our workshop if you only want a single day hire, we have numerous self guided tour routes we can provide that start and finish at our workshop
  • Collection occurs from 3:00pm. All customers choosing a delivery option must ensure they are available to have the bikes picked up from 3pm on the final day of their booking Collection occurs between 3:00pm and 4:45pm. Exact times cannot be guaranteed in advance and will be arranged on the day of collection, charges will apply if collection can not be completed due to your unavailability between these times.
  • Customers who do not have their bikes available for collection from 3pm may be charged additional fees in line with our terms and conditions.

Short Notice Noosa Delivery $15

  • Available for all bookings over $100 created and paid for LESS than 48hrs in advance within the Noosa area. This area consists of Noosaville, Tewantin, Noosa Heads, Sunshine Beach, Sunrise Beach and Castaways Beach. Areas south of Castaways Beach will be subject to an additional fee and a minimum $200 booking.
  • Delivery occurs between 9:30am and 10:45 am, exact times cannot be guaranteed in advance and will be arranged on the morning of delivery. We do suggest you consider riding from our workshop if you only want a single day hire, we have numerous self guided tour routes we can provide that start and finish at our workshop
  • Collection occurs from 3:00pm. All customers choosing a delivery option must ensure they are available to have the bikes picked up from 3pm on the final day of their booking Collection occurs between 3:00pm and 4:45pm. Exact times cannot be guaranteed in advance and will be arranged on the day of collection, charges will apply if collection can not be completed due to your unavailability between these times.
  • Customers who do not have their bikes available for collection from 3pm may be charged additional fees in line with our terms and conditions.

Marcus Beach – Coolum Delivery $75

Required for all deliveries to the South of Castaways Beach and Sunshine Coast Hinterland. Not suggested for single day hire.

  • Available for all bookings over $200 for delivery South of Castaways Beach or to the Hinterland. (Bookings under $200+ delivery are not delivered south of Castaways Beach)
  • Delivery occurs between 9:30am and 10:45 am, exact times cannot be guaranteed in advance and will be arranged on the morning of delivery, and will typically occur closer to 10:30am. We do suggest you consider riding from our workshop if you only want a single day hire, we have numerous self guided tour routes we can provide that start and finish at our workshop
  • Collection occurs from 3:00pm. All customers choosing a delivery option must ensure they are available to have the bikes picked up from 3pm on the final day of their booking Collection occurs between 3:00pm and 4:45pm. Exact times cannot be guaranteed in advance and will be arranged on the day of collection, but collections south of Castaways Beach typically occurs around 3pm, charges will apply if collection can not be completed due to your unavailability between these times.
  • Customers who do not have their bikes available for collection from 3pm may be charged additional fees in line with our terms and conditions.

For delivery of orders under $100 within Noosa / $200 outside Noosa or bulk delivery options please contact us directly prior to booking.

Delivery terms and conditions
  • Delivery is only provided on bookings that have been paid in full and where the booking waiver has been completed online
  • If you have requested a specific delivery time, we will make every effort to deliver as close as possible to your requested time, however we cannot guarantee the availability of delivery times on any given day in advance.
  • For delivery services, we will contact you prior to your booking commencement to confirm a delivery timeframe and again when on our way.
  • If customers are unable to be contacted directly prior to delivery, the bikes will not be delivered unless prior arrangements have been made.
  • Our ability to deliver is only guaranteed on bookings made at least 48hrs prior to your requested delivery date. If your request is less than 48hrs from booking, we may need to make alternative arrangements with you.
  • If the person responsible for the booking is not at the nominated location at the confirmed delivery time, we cannot guarantee the bikes can be re-delivered at a later time.
  • If the bikes are not available for collection by us from 3pm on the final day of the rental period at the agreed pick-up time/location or we are unable to contact you to arrange collection, additional charges WILL be incurred. These fees will reflect the full value to the business including staff wages, fuel, cost incurred by us compensating other customers who may have had the bike reserved.
  • Any bookings that need to be extended due to failed collection will be charged at the FULL daily rate for each day they are not returned. Further charges as outlined below may be incurred if failure to return results in other customers being impacted or increased staffing costs to recover the bike.
  • Please make sure your booking accurately reflects what bikes and accessories you require. Where an unsuitable bike has been booked or certain accessories not requested, we cannot guarantee availability or redelivery of an alternative.

Bike Requirements

If a participant chooses to provide their own bike for a tour, the bike must be of a standard that doesn’t represent an unreasonable safety risk to the individual or other participants.

We have a duty of care to all participants. Unsafe bikes pose a risk not only to the rider but other participants and trail users too. We cannot allow anyone to participate on unsafe bikes. There will not be credits or refunds if you cannot participate due to the unsafe or unsuitable nature of the bike. 

Rider Ability, fitness and behaviour

All programs assume riders, be they children or adults, possess the ability to safely ride a bike at the level required by the program they are participating in. Furthermore, it is assumed they possess the required fitness, stamina resilience, self-awareness and respect for their own safety and the safety of others to participate in a safe and suitable manner.

Where it becomes evident that this is not the case, at the sole discretion of the instructor or guide, the program may be modified, the participant may be placed in a different group or may be prevented from participating all together. Credits or refunds in these situations will be at the sole discretion of Bike On and will be made with regard to the exact circumstances at the time.

It probably doesn’t need to be said but no rider will be able to participate if they are under, or appear to be under, the influence of alcohol or drugs (*illicit or not).

While we are completely happy to modify tour routes and equipment used to better suit rider ability, please consider the ability of all participants prior to booking as any modified route may not include sights and locations that were initially anticipated on booking.

Weather considerations and Cancellations By Us

In the event of inclement weather (heavy rain, storms etc) we may look to postpone, modify or cancel the tour. Where we deem this necessary, we will provide you with the option of a full refund where other suitable arrangements cannot be made.

While we are happy to work around weather conditions, the exact nature of the weather will be considered in any decision. We will not ride, even if the participant requests it, where we feel weather presents a risk. Conversely, we cannot necessarily alter a tour time because it is cloudy or for some other factor that cannot reasonably be expected to significantly impact the delivery of the tour.

MINIMUM GROUPS SIZE AND OTHER REASONS FOR CANCELLATIONS BY US 

All group tours are subject to minimum group sizes being met. It is very unusual for us to cancel due to minimum numbers not being met but it does happen from time to time. Where this occurs you will be contacted the day prior to your tour. You will be offered your choice of a full refund or rebooking on an alternative tour.

Although we have numerous staff, tours can unfortunately be occasionally impacted by staff availability due to factors such as illness. Where this occurs you will be contacted as soon as possible. You will be offered your choice of a full refund or rebooking on an alternative tour.

CUSTOMER REQUESTED BOOKING CHANGES AND CANCELLATIONS – PRIVATE or CUSTOM TOURS or Programs 
  • Any changes and cancellations made more than 7 days prior to the commencement of the booking will be eligible for a full refund.
  • Any changes and cancellations made less than 7 days prior to the commencement will not be eligible for a refund or credit. This includes cancellation requests for weather not deemed to be significant but us, any illness or reduction of participant numbers. These strict terms are in place and WILL be enforced, please consider this prior to booking. These policies are in place due to the fact that to run a private tour we have allocated to resources and time slot that would otherwise be made to group tours a to your tour and as such have typically not been able to take bookings for our standard group tours on these days/times.
  • Multi-day events are subject to the same booking and refund conditions and timeframes as outlined above. The event is deemed to have commenced as of the beginning of the first day of the program. If you are unable to attend following days of the event or elect to shorten your experience for any reason you will not be eligible for a refund (however at our sole discretion credits may be issued)
Route Considerations

All of our bike tours may utilise public roads, bike paths and footpaths and do cross major roads. All participants must be prepared to, and capable of, following road rules as they relate to cycling on roads and footpaths (riding on footpaths is permitted in Queensland). 

Although we keep sections of road and footpath riding to an absolute minimum, all participants must be comfortable with and capable of riding bikes around pedestrians and vehicles.

Bike Requirements

All bikes must be of a standard that doesn’t represent an unreasonable safety risk to the individual or other participants.

A suitable bike will always have:

  • Functional hand brakes for both the front AND rear wheels (No foot brakes permitted)
  • Correctly adjusted and well maintained gears (Bike must have gears)
  • Tires with a reasonable amount of tread
  • Minimum tire size of 20” – It is highly unlikely that bikes with smaller wheels will be suitable for any programs. Some programs require participants to be riding 24” or 26” bikes, please check the program specific details.
  • Well maintained and serviced

In addition to the above, many programs will have additional requirements. Please see the program specific requirements in the links above.

All programs come with completely free bike safety checks, conducted by Bike On which also includes free basic adjustments (excludes parts and labour costs to fit). We would strongly encourage parents to take advantage of this offer if they have any doubts about the suitability of the bike.

Additional Equipment Requirements

The following equipment is compulsory for all programs:

  • A correctly fitting Australian Standards approved helmet – We strongly suggest a full face helmet
  • Enclosed footwear – We suggest MTB specific footwear
  • Water AND a method of carrying it
  • A tube that is suitable for your bike

Please note Instructors are already required to carry a significant amount of equipment and heavy backpacks as part of their role. They have very limited space in the backpacks so please do not assume them to be in a position to carry participant’s water or snacks.

We would also strongly recommend the following protective equipment:

  • Full face helmet
  • Knee and elbow pads
  • Full finger gloves
Missed / Skipped Sessions (School Term Programs or subscription Programs)

Bike On strictly adhere to capacity numbers for all programs and cannot typically accommodate missed or cancelled sessions by moving kids around between different programs week to week.  There are typically not credits or refunds for the sessions riders do not to attend – although where possible we are happy to try and accommodate changes they are absolutely not guaranteed as most programs are typically full.

All term programs are priced on the assumption that 7 of 10 weeks will run, however we will run all 10 of term programs weeks at no additional charges if conditions allow (essentially providing up to 3 free / make up sessions per term and some degree of flexibility for students that skip weeks for various reasons). In normal circumstances, participants will get more than the 7 weeks, in very rare circumstances they may not. In order to ensure space for your child, a booking reserves the space for each week of the term. Low weekly costs are achieved by selling spaces as a term long program and are not possible by selling weekly spots on a casual basis. As with most term or season long group sports, they are not costed to include credits, refunds or alternative classes for weeks missed for any reason. If you envisage missing the majority of weeks, you may wish to pay the week-by-week casual fee of $75, however this is strictly subject to availability on the week in the group that is suitable for your child. There is no guarantee of availability on any given week and availability changes over the term.

In the event of inclement weather (heavy rain, storms etc) we may look to postpone, modify or cancel the session, but will attempt to deliver the majority of classes. As a result, we do ride in the rain with due consideration to safety.

We will make every effort to deliver all sessions in any given period, but the program pricing assumes that events beyond our control may result in some programs not running. Bike On strictly adhere to capacity numbers for all programs and cannot typically accommodate missed or cancelled sessions by moving kids around between different programs week to week.

Missed / Skipped Programs (School Holiday Programs or other STAND-ALONE events)

By purchasing a MTB program, you are receiving a limited place in a program that is subject to our general booking change and cancelation policy outlined below. Where riders elect not to ride for one or both of the days for any reason, we do not guarantee a credit or place in an alternative program. Where we can provide a credit for an alternative booking in the same holiday period we will attempt to, however this is not guaranteed and is entirely subject to availability.

In poor weather, we will typically wait until an hour before the event before deciding to cancel (communicated by email and on our parents’ Facebook page)… there is always the possibility that we may elect to run the program only to find the weather doesn’t behave as anticipated and have to cancel at any time up to and including the start of the session.

Cancellations by us (School Holiday Programs and STAND-ALONE programs)

Where we cancel a School Holiday program, we will provide refunds or credits for those that have purchased the program independently of any subscription program. Program attendance is not compulsory, and riders are always free to make their own decision on whether to attend in advance of any Bike On decision based on their own assessment of the forecast, however credits are not necessarily given if a participant elects not to attend.

Communication channels

In the event we need to cancel a day at short notice, we will communicate by email and on our private parents’ Facebook group www.facebook.com/groups/bikeonnoosa/. This page is also where we share a heap of other useful information available to subscribers such as:

  • Videos and photos of what your kids get up to during the lessons so you can share in their experience
  • Free social rides organised by us or privately by other parents
  • Free ad hoc coaching programs available to parents
  • Free ad hoc mechanic classes
  • Discounted holiday/trips open to Bike On members (such as Derby, Thredbo)
Changing Days

Permanent ongoing changes to your enrolment days can be made at the end of each school term (before the commencement of the following term) by contacting us.
While we will try to accommodate mid-term requests for changes, we cannot make any promises as staffing commitments are made well in advance and we have strict instructor/student ratios we must adhere to.

Ages

Ages started for the programs are guides. They tend to reflect the ages that the programs are typically suitable for, however we are happy to accommodate children outside those ages but please call us to discuss.

Food & Snacks

Some programs include light snacks handed out by instructors. These are typically lolly snakes, icy poles or muffins. Due to a wide variety of dietary requirements and preferences, we do not supply an extensive range of snacks. If you have specific requirements for snacks, you are welcome to supply them however, they will have to be carried by your child. If you would prefer your child is not given any sugar or they have any allergies, please make this clear on the booking or at the beginning of the program.

While we appreciate being told through other methods is sometime easier, using these two methods will ensure the message gets to where it needs to be.

Parental involvement in Childrens Programs

Unless explicitly stated in the program description these programs are not designed for parents to follow along with (even at a distance). If you feel you child still requires direct parental support or supervision, we would respectfully suggest that your child is not yet ready for these programs and would request that you do not book.

While it might seem harmless following groups around, it typically distracts children and draws their focus to their parents, which in turn creates safety issues. We will ask parents to remove themselves and their child from any program where parents cause a distraction to their child, other children or the instructor by insisting on following their child’s group around.

Race Participation 

Race participation is entirely optional and separate from Bike On programs (it is not a Bike On program in any way)

Bike On will typically have a presence of coaches and junior riders at all Queensland Rocky Trails Super Flow events, however it is entirely the responsibility of each participant to make their own way to these events and parents to provide support/supervision as they deem fit. Bike On does NOT provide direct supervision or assistance at race events.

Make an Optional Trail Care Contribution

Bike On staff participate in significant trail maintenance, especially at Gympie and Wooroi and we also pay land managers between $2-$3 per rider per session (however unfortunately land managers don’t often use this for trail maintenance).

If you would like to contribute to the maintenance of the trails, there will be the option to add a small, voluntary one-off or ongoing contribution to your booking that will either be donated to local bike clubs or used by Bike On to deliver trail maintenance programs. If you would like to add a one-off contribution to your purchase this can be done here. If you would like to add an ongoing contribution to your purchase this can be done here

Holiday Programs Booking Terms – Conditions & Exclusions – Included in ALL subscriptions.

All subscriptions entitle you to attendance at selected school holiday programs at no additional charge. However, there are restrictions that vary depending on the subscription selected.

After School Shredders Subscriptions

  • INCLUDES 2 days of standard School Holiday MTB programs per week of the school holidays.
  • EXCLUDES programs that include transport, accommodation or 3rd party providers

Development Team Subscriptions

  • INCLUDES 2 days of School Holiday MTB programs per week of the school holidays. Choose from:
    • Standard School Holiday MTB programs
    • Shuttle Days
  • EXCLUDES Road Trips, and programs that include accommodation or 3rd party providers

Development Team With Road Trips Subscriptions

  • INCLUDES 2 days of School Holiday MTB programs per week of the school holidays. Choose from:
    • Standard School Holiday MTB programs
    • Road Trips
    • Shuttle Days
  • EXCLUDES any programs that include accommodation or 3rd party providers

Enrolment in holiday programs is strictly subject to availability and all programs must be booked online using the following discount codes (to avoid awkward conversations please only use codes relevant to your program subscription type as they will be cross checked). You are not automatically enrolled in holiday programs – you must book – spaces are limited

All program bookings associated with a subscription are for the child named on the subscription only. They are not transferable to others.

Although programs are included, please DO NOT book into programs you are not likely to attend. We understand completely that occasionally you will book a program that cannot be attended, however continually booking programs you do not attend will result in your bookings not being accepted.

Subscription Changes & Cancellations

Your subscription will continue to be billed monthly and charged to the card on file, on an ongoing basis, until you cancel it.

Your subscription can be cancelled at any time by logging into your account. You will need to do this yourself in your account. Refunds are not provided for unused portions of your subscription, however you will be free to utilise any services included until the end of the relevant period.

If you cancel, you will be free to utilise Bike On programs as per your subscription until the next renewal date. Subscriptions reserve your place in our programs, and are priced on the assumption they are held on an ongoing basis. They can be canceled at anytime but they will not be paused for periods you don’t plan on attending. By cancelling your subscription your place will not be held and the place will be offered to families on waitlists.

If you wish to make alterations, such as changing days, but not cancel your subscription program, please contact us.

Bike On Jerseys  – Included in ALL subscriptions

Your subscription comes with a FREE bike on jersey (one at subscription and one each full year of subscription). To collect your jersey please come to the shop 12, 20 Venture Drive Noosaville to find your size. 

There is an option of a personalised race team jersey, however this is available only to selected riders and subject to conditions, please contact us to discuss.
